Job Summary

CAEDO is seeking a proactive and organized Operations and Program Assistant to provide essential support across multiple departments. This entry-level position is ideal for individuals with a foundational background in administration or program support who want to gain practical experience in the development sector. The role covers a diverse range of responsibilities—from assisting program activities and procurement to handling clerical tasks and supporting finance operations.

Job Responsibilities

A. Program Implementation & Monitoring Support

  • Assist in organizing and executing program activities and field visits.
  • Help compile data, maintain beneficiary records, and document community feedback.
  • Participate in basic monitoring tasks and prepare simple activity updates and meeting notes.
  • Ensure program documents and files are properly organized and maintained.

B. Procurement & Logistics

  • Assist with local procurement procedures in line with CAEDO and donor requirements.
  • Gather quotations, help prepare bid evaluations, and maintain purchase records.
  • Manage inventory and office supplies; support asset tracking.
  • Arrange logistics for trainings, workshops, and travel plans.

C. Finance & Administrative Support

  • Collect and check supporting documentation for payment processing.
  • Support petty cash tracking and expense reconciliation.
  • Help organize and archive financial records and monthly reports.

D. Clerical & Office Support

  • Maintain tidy filing systems (both digital and physical).
  • Handle routine administrative duties such as photocopying, scanning, and correspondence.
  • Ensure the office environment is orderly and operational on a daily basis.

E. Other Duties

  • Carry out other relevant administrative or support tasks as needed.
Job Requirements

  • Bachelor’s degree in Business Administration or a related field.
  • At least 2 years of work experience in operations, administration, or a similar role, preferably in an NGO setting.
  • Familiarity with procurement, finance, or M&E practices is an advantage.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) and comfortable with email tools.
  • Effective verbal and written communication skills in Dari, Pashto, and English.
  • Strong time management, attention to detail, and ability to prioritize tasks.
