Job Summary

The Admin and Finance Officer is essential to the smooth functioning of the organization’s administrative and financial operations. This role involves handling day-to-day administrative duties, managing financial transactions, maintaining precise financial records, and assisting with budgeting activities. The ideal candidate should demonstrate excellent organizational abilities, a keen eye for detail, and a strong grasp of financial practices, ensuring adherence to applicable policies and regulations while supporting the organization's overall success.

Job Responsibilities

Administrative Responsibilities:

  1. Office Management: Manage daily office operations, including inventory of supplies, equipment maintenance, and coordination with vendors.
  2. Record Keeping: Organize and maintain both physical and digital filing systems for easy access and retrieval of documents.
  3. Communication: Act as the main point of contact for internal and external communications, handling inquiries and correspondence efficiently.
  4. Meeting Coordination: Organize meetings, prepare agendas, record minutes, and ensure timely follow-up on action items.
  5. Staff Support: Provide administrative assistance to team members, including travel arrangements and event planning.
  6. Other Duties: Perform additional tasks as assigned by the line supervisor.

Financial Responsibilities:

  1. Financial Record Keeping: Accurately maintain financial records, including accounts payable/receivable, payroll, and general ledger entries.
  2. Budget Management: Support the development of budgets and forecasts; monitor expenditures to ensure alignment with budget constraints.
  3. Financial Reporting: Generate regular financial reports, highlighting key metrics and variances for management review.
  4. Compliance: Ensure compliance with financial regulations and policies; support audit processes when necessary.
  5. Transaction Processing: Process invoices, payments, and receipts; regularly reconcile bank statements.
  6. Reporting & Analysis: Prepare business activity reports, financial statements, and forecasts; provide insights to aid decision-making.
  7. Cost Control: Analyze financial data and business processes to identify cost-saving opportunities.
  8. Decision Support: Assist management in making informed financial decisions based on accurate data and analysis.
  9. System Development: Help develop and maintain financial reporting systems; stay updated on financial tools and platforms.
  10. Financial Planning: Estimate funding needs, support the planning and execution of financial tasks and projects.
  11. Forecasting: Lead monthly closing processes and prepare financial forecasts.
  12. Performance Evaluation: Monitor the financial performance of the organization, including ROI and risk analysis.

Additional Responsibilities:

  1. Policy Development: Support the creation and implementation of administrative and financial policies and procedures.
  2. Training: Provide training and ongoing support to staff regarding administrative and financial systems.
  3. Project Support: Assist with projects requiring administrative or financial input.

Job Requirements

Qualifications:

  1. Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  2. 4–6 years of proven experience in administrative and financial roles.
  3. Solid background in budgeting, financial reporting, and compliance.
  4. Proficient in accounting software and Microsoft Office Suite.
  5. Excellent organizational skills with strong attention to detail.
  6. Strong verbal and written communication, along with interpersonal skills.

Other Requirements:

  1. Demonstrated initiative, integrity, and the ability to manage tasks independently.
  2. Experience working in the field, bazaars, or market environments is an asset.
  3. Knowledge or experience in social sciences or social work is beneficial.
  4. Team player with effective communication skills.
  5. Fluency in Dari and Pashto is required; basic knowledge of English is an advantage.
  6. Computer literacy, particularly in Microsoft Office applications.
